Quote follow-up

Keep the quote moving after you send it.

Quote follow-up automation for builders and contractors. Bring unanswered quotes forward, prepare relevant emails and keep the next action with the right person.

Review the follow-up before it goes out.

An unanswered quote appears with its conversation and a prepared email. The estimator reviews it and approves the next step.

A quote has been sitting unanswered for 12 days. The system brings it forward and prepares a follow-up using the customer conversation.

Start with the quotes that need attention.

See ageing quotes by owner and last contact. A large open quote is useful context, not a reason to ignore smaller jobs.

  • Separate unanswered quotes from active conversations.
  • Give each opportunity a named next action.

A reply changes what happens next.

When the customer asks for a revision, pause the follow-up sequence. Put their request in front of the estimator instead of sending another reminder.

  • Keep the reply beside the original quote.
  • Stop reminders on a reply, won/lost status or manual pause.

Start with the tools you already use.

Your quoting system, approved Outlook mailboxes and task list. We check native follow-up features first, then connect what is missing.

What we check before building

Quote identifiers, customer contacts, status and sent dates. Mailbox access and agreed sending, reply and stop rules.

These are illustrative workflows, not a ready-made platform or live client results. We agree the supported connections, approval points and acceptance tests before implementation.

Questions about delivery

Can you automate quote follow-up without replacing our quoting software?

Often, the first step is configuring features already in your quoting tool. Where needed, we connect quote status, mailbox replies and tasks after checking API access and permissions.

Will follow-ups stop when a customer replies?

We design explicit stop conditions for replies, won/lost quotes and manual pauses. These are tested with your mailboxes and quote records before sending is enabled.

Can an estimator approve every email?

Yes. Follow-ups can be prepared for approval. Any automatic sending requires separately agreed rules, permissions and tests.

Can different teams use different timings?

Yes. Sequences can vary by job type, team or region, with an owner and an escalation step.

Does this send SMS as well?

The examples show email. SMS needs an approved messaging service, consent rules and separate scope; it is not assumed.

What information do you need first?

A sample quote, its customer conversation, status history and the rules your team wants to follow. We verify the available fields before agreeing the workflow.
